Mention “AI” and people tend to picture either a sci-fi robot uprising or their own job quietly disappearing. The reality, for a small business, is far less dramatic and far more useful. Today’s AI assistants are less Terminator and more keen, occasionally over-confident junior helper — one who happens to work at three in the morning for roughly the price of a sandwich. When you’re short on time and people, that turns out to be quietly brilliant.
So What Can They Actually Do?
You chat to them in plain English, the same way you’d ask a colleague, and they get on with it. The everyday wins look like this:
- Draft the awkward email you’ve been putting off — then make it more polite, or shorter, or firmer.
- Boil a 40-message email thread or a long document down to the three things that actually matter.
- Turn your rough notes into a tidy first draft of a proposal, quote or web page.
- Make sense of a spreadsheet — “what were my best-selling products last quarter?” — without wrestling with formulas.
- Tidy up the wording, tone or spelling of something you’ve already written.
It rarely hands you the finished article. What it does is get you from blank page to a decent first draft in seconds — and the blank page is usually the bit that eats your whole morning.
Meet the Main Three
There are several of these assistants about, but three names come up again and again. They’re more alike than the marketing suggests, each with a slightly different sweet spot:
- Microsoft Copilot lives inside the Microsoft 365 apps you already use — Word, Excel, Outlook, Teams. Its clever trick is that it can see your own emails and files (while sticking strictly to your existing security permissions), so it can summarise your meetings and draft replies using your actual information. If your business runs on Microsoft 365, it’s the one that slots most naturally into your day.
- ChatGPT is the famous one and the all-rounder — a brilliant general helper for almost anything, from brainstorming and drafting to explaining tricky topics and even creating images. It’s the one most of your team have probably already had a play with at home.
- Claude is a firm favourite for writing and careful, detailed work — it handles longer documents well and produces text that genuinely reads like a human wrote it (and, with a little steering, like you wrote it). A strong pick for proposals, reports and thinking a knotty problem through.
The honest truth? There’s no single “winner.” The lead leapfrogs between them every few weeks, and plenty of businesses happily use more than one — Copilot for the in-the-flow Microsoft 365 jobs, and Claude or ChatGPT for the heavier writing and thinking. The best AI, in the end, is simply the one you’ll actually use.
A Few Sensible Cautions
This is the grown-up bit, and it matters:
- They can be confidently wrong. AI will occasionally state something completely false with total conviction (the polite term is “hallucinating”). Always check anything that counts — figures, names, legal or financial details — before you rely on it.
- Mind what you paste in. Don’t drop confidential client data, passwords or sensitive files into a random free AI tool — you don’t always know where that information ends up. Business-grade versions (such as Copilot inside your own Microsoft 365, or the paid business tiers) keep your data private and don’t use it to train the AI. Which version you use matters as much as which brand.
- It’s an assistant, not an oracle. Treat it like a clever, eager junior — great for first drafts and donkey work, but you’re still the one with the final say.
The Bottom Line
AI isn’t here to run your business, and it’s not coming for your job any time soon. What it will do, today, is hand you back the hour you lose every morning to the inbox, the blank page and the fiddly spreadsheet. Used sensibly — and set up safely — it’s one of the cheapest productivity boosts a small business has ever had within reach. The hardest part isn’t the technology; it’s working out where it genuinely fits into your day, and doing it without accidentally leaking your data.
