You’re Paying for Microsoft 365 — Are You Actually Using It?

In short: Most businesses pay for Microsoft 365 every month and use a tiny slice of it — email, Word, maybe Excel — while a whole toolkit of genuinely useful apps sits there untouched. Here’s what you’re already paying for, and the bits worth discovering.

You signed up for Microsoft 365, you use Outlook for email and Word for documents, and that’s that — job done. Sound familiar? If so, you’re in the vast majority. But it’s a little like joining a gym with a pool, a sauna, classes and squash courts, and only ever using the one treadmill by the door. You’re paying for all of it either way. So let’s take a quick wander round the equipment you’ve already bought.

It’s Not Just Email and Word

Most people picture Microsoft 365 as “Office, plus email.” In reality it’s a whole suite of connected apps — for chatting, meeting, organising, sharing and scheduling — all bundled into the price you’re already paying. Nobody uses every single one, and you don’t need to. But knowing what’s in the box means you can stop paying separately for other tools that do jobs Microsoft 365 already covers.

The Bits Worth Discovering

A whistle-stop tour of the under-loved gems:

  • Teams — beyond the video call. Most people fire up Teams only for the occasional meeting, but it’s also a tidy home for quick chats (instead of clogging up email), phone-style calls, and pulling your files and apps together in one place.
  • Shared calendars and Bookings. Outlook does far more than email. Shared team calendars let everyone see who’s where at a glance, and Bookings lets clients book appointments with you online — no more “does Tuesday work?” email tennis.
  • Planner and To Do. Simple, visual task lists and boards for keeping track of who’s doing what — often enough to replace a separate project-management subscription entirely.
  • Forms. Need a quick survey, a feedback form or a sign-up sheet? Forms builds one in minutes and tidies up all the responses for you.
  • Shared mailboxes. That info@ or sales@ address the whole team needs to see? A shared mailbox means everyone works from the same inbox, so nothing gets missed — or answered twice by three different people.
  • OneDrive and SharePoint. Your files, safely in the cloud and reachable from anywhere, and a far saner way to share and co-edit than emailing copies around. (This one’s so useful it’s getting its own article next time.)

Why It’s Worth a Look

Two good reasons. First, you’re already paying for all of it — so any job you’re currently doing with a separate paid app, whether that’s a survey tool, a booking system, a task-tracker or a file-sharing service, might already be covered, which is money quietly saved. Second, because it’s all one joined-up system, the apps talk to each other: a file here, a chat in Teams, a task in Planner, all working together rather than scattered across a dozen different logins and passwords.

“But I’ll Never Have Time to Learn All That”

Fair — and you really don’t need to. The trick isn’t to master everything overnight; it’s to spot the one or two features that would save you genuine time, and start there. Maybe it’s Bookings putting an end to the appointment back-and-forth, or a shared mailbox so nothing slips through the cracks. Pick the bit that solves your biggest daily annoyance, get comfortable with it, and let the rest wait quietly until you need it.

The Bottom Line

Microsoft 365 is one of the best-value tools a small business has, precisely because so much of it goes unused. You’ve already bought the full gym membership — it’s well worth knowing what’s beyond the treadmill by the door. Discovering even one or two of these could hand you back time every week, or let you cancel a subscription you hadn’t realised you’d outgrown.
