Stop Emailing Yourself Files: A Saner Way to Share Work

We’ve all been there. You finish a document, email it to a colleague, they make changes and email it back, you make a few more… and three days later nobody is entirely sure which of the eleven versions drifting around everyone’s inboxes is the real one. Somewhere in the pile is a file majestically named “Proposal_FINAL_v3_USE THIS ONE_actually final (2).docx”, and it is almost certainly not the latest. If that feels painfully familiar, there’s a much saner way to work — and if you use Microsoft 365, you already have it.
The Madness of Using Email as a Filing Cabinet
Emailing files around feels normal because we’ve always done it, but it quietly causes chaos:
- Nobody knows which version is current. Two people edit two different copies, and now someone has to merge them by hand. Joy.
- Files get lost in threads. The attachment you need is buried in an email from three weeks ago with a subject line you can’t remember.
- Big files bounce. Email was never built to lug around hefty attachments, so they get rejected or quietly clog up everyone’s inbox.
- The latest copy lives on one laptop. And that person is off sick, on holiday, or has left the company — taking the only good version with them.
It works, just about… right up until the day it really doesn’t.
There’s a Better Way: Put the File in One Place
The trick is gloriously simple. Instead of sending copies of a file around, you keep one copy in a shared place online, and everyone works on that. No copies, no confusion. Microsoft 365 gives you two homes for this:
- OneDrive is your own personal work drive — think of it as your filing cabinet, except reachable from any device and safely in the cloud rather than trapped on one computer.
- SharePoint is the shared, team version — the company filing cabinet that everyone with permission can reach. (If you use Teams, its files actually live in SharePoint behind the scenes, which is why it all joins up.)
Put a document in one of these and it stops being “your copy” or “my copy.” It’s just the document — one of it, always the current one.
Everyone in the Same Document at Once
Here’s where it starts to feel like magic. Several people can open the same file at the same time and edit it together, watching each other’s changes appear live (you can literally see their cursor pootling about). No emailing back and forth, no “have you finished with it yet?”, no stitching two sets of edits together afterwards. Everyone is always looking at the latest version, because there is only one version. The merge nightmare simply vanishes.
Send a Link, Not an Attachment
Need someone to see a file? Instead of attaching a copy, send them a link to the one real file. They click it and see the current version — not a snapshot frozen at the moment you hit send. It’s neater all round: no giant attachments clogging inboxes, and you choose whether each person can simply view it or actually edit it. Better still, you can switch that access off again later — try un-sending an email attachment and see how far you get. (Your security-conscious side will rather enjoy that one.)
The Undo Button You Didn’t Know You Had
Every change is quietly saved as you go, and the system keeps a history of earlier versions. Deleted three paragraphs on Tuesday and only noticed on Friday? Roll back to an earlier version and pluck them straight out. Saved over something important? It’s still there in the history. It’s a safety net that has rescued many a panicking heart mid-flutter — and it costs you precisely nothing extra.
Wherever You Are, on Whatever You’ve Got
Because the file lives in the cloud (see our earlier piece on what that actually means), you can start it on the office PC, tweak it on the laptop at home, and glance at it on your phone on the train — the same file, always up to date. No emailing yourself documents, no USB sticks, no “I’ll finish it when I’m back at my desk.”

Emailing files around is one of those habits that feels efficient and quietly isn’t. Moving your documents into OneDrive and SharePoint sweeps away the version chaos, the lost attachments and the one-laptop bottleneck, and replaces them with a single tidy, shared, always-current source of truth.
